State Association Standing Committees

West Virginia is trying to get caught up to speed as an association. They have recently hired their first ED (ME!) and I’m trying to bring everyone together. One of the most unorganized and inefficient parts of the WVACD are their standing committees (lack of agendas, purposeful conversations, pre-planning, etc). Have other states implemented any strategies to encourage supervisors to be more productive and to meet more than once per quarter prior to the state-wide quarterly meeting? I thought about getting committee chairs to meet with me to discuss their agendas and to make sure they had meeting materials ready for distribution prior to committee meetings as a start. Has anyone else had to start from scratch or aid in re-vamping supervisor-led programs? Also- feel free to spam me with any other tips and tricks 😉 hduncan@wvca.us

Hi Heather, Welcome aboard ! My name is Connie Lee, and I am the second ED for Nevada Assoc. of CDs and am “relatively” new as well. While our issue was not so much the committees, it was the actual Board and inability to spend as much time as they wanted to achieve the desired deliverables. Our committees are working on very discreet seasonally specific tasks, such as Scholarships and Awards, which only occur during certain times of the year. Having a part time “treasurer/secretary” who is able to focus on some of these details is a great help. (i.e. the budget, bills, income, and website). This frees me up to focus on the structural functioning and outreach that is never ending. Some of the things that have happened that help keep us focused are the following:
1. Developed a Strategic Plan which outlines clear objectives and deliverables (it too two years).
2. Schedule regular monthly meetings with clear objectives and deliverables Involve Stakeholders when possible.
3. Develop a standing agenda to insure there is follow-through with identified deliverables.
4. Regular communication through our listserv
5. Increased outreach to stakeholders

@nvacdexecdir Thank you! Any help is fantastic help to me! 🙂 I thought we would have started working on a new strategic plan by now, but we just haven’t gotten there yet. Hopefully this spring we will be able to. I think everyone is WV is moving forward and things are starting to come together, even if we aren’t realizing it at first. Slow and steady wins the race, right?!
